Privacy Policy

What this policy covers

This policy explains how Sole Design Group handles information collected through soledesigngroup.com, including our contact form, our marketing audit request form, and the emails and calls that follow from them. It applies to visitors, prospective clients, and anyone who reaches out to us through this website.

It does not cover two other things. First, the data we handle on behalf of a client while doing marketing work for them, which is governed by our agreement with that client rather than by this page. Second, the separate websites and platforms we link to, which have their own policies.

Information you give us

We only receive what you choose to send. That is usually one of the following.

Contact form

When you submit the form on our contact page, we receive your first and last name, email address, phone number, company name, your website if you provide one, the services you selected as areas you need help with, and your message.

Marketing audit request

When you request a marketing audit, we receive your name, your property or business name, email address, phone number if you provide one, your website address, whether you are currently running paid advertising, and anything you tell us about what is not working. We use your website address to review your public site and prepare the audit.

Form security check

Both forms run a security check from Cloudflare called Turnstile, which confirms that a person and not an automated script is submitting them. It looks at signals from your browser and device, such as your IP address and how your browser interacts with the page, and returns a simple pass or fail. It does not read what you typed into the form, and we do not use it to identify or track you. Cloudflare runs that check for us as a service provider, under its own privacy policy.

Direct contact

If you email or call us, we keep that correspondence the way any business keeps its records, so we can pick the conversation back up where it left off.

We do not ask for sensitive categories of personal information such as government identifiers, health information, or financial account numbers through this website, and we would rather you did not send them in a form field or an email.

Information collected automatically

Like nearly every website, ours records some technical information when you visit. This typically includes:

  • Your IP address, which also gives an approximate location such as a city or region, not a street address.
  • Your browser type, device type, operating system, and screen size.
  • The pages you view, how long you spend on them, and the links you click.
  • The page or search that sent you here, and any campaign tags on the link you followed.
  • Dates and times of your visits, and standard server logs used to keep the site running and secure.

We look at this in aggregate to understand which pages are useful and where people get stuck. We do not use it to build a profile of you as an individual.

We also record a small number of events when a visitor takes a specific action, such as submitting a form or using our OTA cost calculator, so we can count how often those things happen. The event records the action, not the numbers you typed into the calculator.

If a form submission cannot be emailed to us, a shortened record of it is written to our hosting provider's logs so the message is not lost. Your email address and phone number are partly hidden in that record, and it is kept only for the limited period the provider retains logs.

Cookies and similar technologies

Cookies are small files a website stores in your browser. We use a tag manager to load our analytics, which sets cookies that recognize a returning browser so a single visit is not counted as several people. We use them for two purposes:

  • Necessary: keeping the site working, delivering pages, and protecting our forms from automated abuse.
  • Analytics: measuring traffic and understanding how the site is used.

You can control cookies in your browser settings, including blocking them or deleting the ones already stored. Blocking analytics cookies will not break this site. You can also opt out of Google Analytics across every site you visit by installing the Google Analytics opt-out browser add-on.

How we use information

We use the information described above to:

  • Reply to your inquiry and answer your questions.
  • Prepare and deliver a marketing audit you requested.
  • Send a proposal, schedule a call, and carry a project forward if we end up working together.
  • Keep normal business records of our correspondence.
  • Understand how the site is used so we can improve the pages, the copy, and the speed.
  • Detect and block spam, fraud, and abuse of our forms.
  • Meet our legal, tax, and accounting obligations.

We do not add you to a marketing list because you filled out a form. If we ever start a newsletter, joining it will be something you opt into, and every message will have a one-click way out.

How we share information

We do not sell or rent your personal information, and we never have. We share it only in these situations:

  • Service providers. A small set of vendors help us operate: website hosting, email delivery for form notifications, spam and bot protection on our forms, our email and calendar, and website analytics. They may process your information only to provide that service to us, under contract, and not for their own purposes.
  • Professional advisers. Our accountants and attorneys, when there is a genuine need.
  • Legal requirements. If we are required to by law, subpoena, or court order, or where we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
  • A change to our business. If our company is merged, acquired, or reorganized, information may transfer as part of that transaction. If that happens, this policy continues to apply to the information transferred until you are told otherwise.

Advertising

We run paid advertising to promote our own services. When you arrive from one of our ads, the ad platform may record that the click happened and that a form was later submitted, so we can tell which campaigns are worth continuing. That measurement is about the campaign, not about you personally, and we do not upload your form submission to an ad platform to target you with more ads.

Most platforms let you limit personalized advertising in your account settings, and browser controls for cookies apply here as well.

How long we keep information

We keep inquiry and audit request information for as long as it is useful for the conversation it started, and then as part of our business records. In practice that means:

  • Inquiries that do not lead anywhere are kept for about two years, then deleted.
  • Client correspondence and project records are kept for the length of the engagement and for as long afterward as our tax and legal obligations require.
  • Analytics data is kept in aggregate on the retention schedule set in our analytics account, which does not identify you personally.

You can ask us to delete your information sooner. See below.

How we protect information

Our site is served over an encrypted connection, form submissions are encrypted in transit, and access to the inbox and accounts that hold inquiry data is limited to the people at our firm who need it and is protected with strong authentication. We keep the number of systems holding your information small on purpose.

No method of transmitting or storing information is perfectly secure, so we cannot promise absolute security. If a breach ever affected your information, we would notify you as required by law.

Your rights and choices

Whatever state you live in, you can ask us to:

  • Access the personal information we hold about you.
  • Correct anything that is wrong or out of date.
  • Delete your inquiry or audit request and the correspondence around it.
  • Receive a copy of the information you gave us, in a portable format.
  • Stop hearing from us at any time.

To make a request, call us at 651-492-0563 or use our contact page. We will confirm we are talking to the right person before we act, usually by replying to the email address the information was submitted from, and we respond within 45 days. There is no charge, and we will not treat you differently for asking.

Because we do not sell or share personal information, a Global Privacy Control signal has nothing to opt you out of on our site. There is still no single standard for Do Not Track browser settings, so we do not respond to those separately.

State privacy rights

Several states give residents specific privacy rights. We extend the rights described above to everyone who contacts us, rather than sorting people by address, so you do not need to prove where you live to use them.

If you live in a state with a comprehensive privacy law, including Minnesota, California, Colorado, Connecticut, Virginia, Texas, Oregon, or Montana, you may also have the right to appeal a decision we make about a privacy request. If we decline a request, we will tell you why and how to appeal. California residents should note that we do not sell or share personal information for cross-context behavioral advertising as those terms are defined under California law, and we do not use or disclose sensitive personal information beyond what is needed to provide our services.

Children's privacy

This is a business-to-business website. It is not directed to children, and we do not knowingly collect information from anyone under 16. If you believe a child has sent us personal information, contact us and we will delete it.

Our site links to client websites, our own client workspace platform at assistant.soledesigngroup.com, and other third-party pages. Once you follow a link, you are on someone else's website under someone else's policy. We do not control how those sites handle your information, and we encourage you to read their policies.

Visitors outside the United States

We are based in Saint Paul, Minnesota, and the systems we use to run this site store information in the United States. If you contact us from outside the United States, your information will be transferred to and processed here, where privacy laws may differ from the ones where you live. Submitting a form is your agreement to that transfer.

Changes to this policy

We update this policy when our practices change or when the law requires it. The date at the top always reflects the current version. If a change is significant, we will make that clear on this page rather than quietly swapping the text. Continuing to use the site after an update means you accept the revised policy.
